What are hyperlinks?

When giving a presentation, PowerPoint normally only lets you move through your slides in a linear fashion: forward or back, one at a time. If you want to jump to a slide that is out of order, or if you want to easily show a file or a web page without having to leave PowerPoint to open it, hyperlinks can be very useful. Hyperlinks allow you to directly jump with just a click from a slide in your presentation to something else: another slide, a file, or a web page. Hyperlinks can be attached to some text, or to a graphic object.

How do I create
a hyperlink?

To create a hyperlink:

1) Select the text or graphic object you want to attach the hyperlink to.

2) Click the Insert Hyperlink button on the Standard toolbar.

This dialog box will appear:

3) In the Link To column on the left hand side, specify where you would like the hyperlink to take you:

- Click “Place in This Document” to go to another slide within your presentation. In the list on the right, click on the slide you want to go to.

OR

- Click “Existing File or Web Page” to view a web page. In the “Type the file or web page name” field, enter the URL of the web page (e.g., “http://www.msn.com”).

OR

- Click “Existing File or Web Page” to open an existing document on the computer. Click the Browse for File button and select the file you want to open.

4) If you want a tip or explanation to be displayed when you rest the mouse pointer on the hyperlink, click the Screen Tip and then type the text you want.

5) Click OK.

If you selected a graphic as your hyperlink, it won’t look any different; if you selected text, it will be underlined. When running your slideshow, if you click the hyperlinked object it will take you directly to the location you specified. Hyperlinks are active only when you run your slide show.

Shortcut: A quick way to create a hyperlink to a web page is simply to type its URL onto a slide. PowerPoint will automatically turn the text into a hyperlink.

How do I remove
a hyperlink?

To remove a hyperlink:

1) Select the text or object the hyperlink is attached to.

2) Click the Insert Hyperlink button on the Standard toolbar.

3) Click the Remove Link button in the lower left corner of the dialog box.

What are action buttons?

PowerPoint comes with some predefined buttons that you can insert in your presentation and define hyperlinks for. Unlike a graphic that you might assign a hyperlink to, these buttons actually depress when clicked on. Action buttons contain icons, such as right and left arrows. You can use these buttons for navigation, or for playing movies or sounds.

How do I create an action button?

To add an action button to a slide:

1) Select the slide you want to place the button on. (If you want the same action buttons to appear on every slide, put them on the slide master.)

2) Click on the Autoshapes menu on the Drawing toolbar. You will see several categories of shapes to choose from:

3) Point to the Action Buttons category. A flyout menu listing action buttons will appear; click on the button with the icon you want.

4) The button is now “loaded” and can be placed on your slide. Simply click on the slide where you would like the button to be.

5) The button will appear. The Action Settings dialog box will also pop up on your screen:

6) Use this dialog box to tell PowerPoint what you would like to have happen if you click on the action button, and what you would like to have happen if you just put your mouse on the action button without clicking. The action button can link to another slide, run a program, highlight the button, or play a sound, just to mention a few options.

7) When done, click OK.

How do I format an action button?

Action buttons can be formatted just like any other AutoShape.

If you don’t like the size of the action button on your slide, use its handles to resize it, holding down the Shift key while you drag to make sure the button keeps the same proportions.

You can change the formatting of the buttons by using the tools on the Drawing toolbar, or simply double click on the button to view the Format AutoShape dialog box.
