What are
print layouts?

 

When printing your slides in PowerPoint, you have the choice of four different layouts (or formats): Slide, Handouts, Notes Pages, and Outline View. Each of these layouts presents the information in your slides in a different way. We’ll look at each and see why you might find each helpful.

 

 
 

Slides

 

When you print using the Slide layout, each slide is printed horizontally on a whole sheet of paper, like this:


This layout could be useful if you want to study your slides on paper, or edit them for futher changes.

 

 
  Handouts

 

 

When you print using the Handout layout, multiple slides are printed on one sheet of paper, like this:


You can tell PowerPoint how many slides should print on a page. If you choose to have only three on a page, PowerPoint will put blank lines to the right of each slide (as above). This format is especially useful for handing out to your audience, who can take notes on the same pages.

 

   
   

Notes

When you print using the Notes layout, each slide is printed on a separate piece of paper, with any speakers notes appearing below, like this:


This format can be very useful to you while you are giving your talk. You can see on the same slide the audience sees (without looking behind you), and you can see at a glance any private notes you might have made, such as “don’t forget...” or “ask the audience...”

 

   
   

Outline

 

 

 

When you print using the Outline layout, the entire contents of your slides are printed in outline form:


This is very useful for proofreading and checking the flow of your presentation.

 

   
   

How do I print
my presentation?
How do I specify
the layout I want?

 

To print your presentation, pull down the File menu and click Print. The following dialog box will appear:


Notice the Print What pull-down menu in the bottom left-hand corner of the dialog box. Your choices are Slides, Handouts, Notes Pages, and Outline View. Select one of the four, and then click OK.
